This Privacy Policy explains how the Stronger Nurse ecosystem collects, uses, shares, and protects personal information across the following entities and services (collectively, the “Services”):

1.2 Non‑Profit Entity

Stronger Nurse, Stronger World,Inc
Status: Separate legal non‑profit entity
Primary Role: Administering scholarships and related charitable programs

Non‑profit operations include:

  • Collecting and reviewing scholarship applications 
  • Making selection and award decisions 
  • Distributing funds and tracking impact for reporting and compliance 

1.3 Key Distinction Between Entities

  • The for‑profit entity collects and uses data to provide and improve courses, communities, merchandise, and related services, and to send marketing and service communications consistent with applicable law. 
  • The non‑profit entity collects and uses data only for scholarship and non‑profit administration, impact measurement, and related legal obligations. 
  • Data is not shared between the for‑profit and non‑profit entities for marketing or other commercial purposes. Limited sharing may occur only to confirm scholarship eligibility or administer a scholarship, as described in Section 7.3. 

This Policy applies to both entities unless we clearly state otherwise. Where practices differ, this Policy explains the difference.

2. SCOPE OF THIS POLICY

This Privacy Policy applies when you:

  • Visit or use Stronger Nurse University and related communities hosted on Skool 
  • Enroll in or access courses, programs, webinars, or events 
  • Interact with our landing pages, sales pages, or marketing funnels (including via GoHighLevel) 
  • Purchase merchandise (including the RECLAIM clothing brand) 
  • Receive email newsletters, announcements, and other communications 
  • Contact us for support or other inquiries 
  • Apply for scholarships administered by Stronger Nurse, Stronger World 

This Policy does not apply to:

  • Third‑party websites, apps, or services that we do not control, even if you access them through our Services 
  • Your employer or educational institution’s systems where they control your data

3.2 Course Management Systems

3.8 Customer Support & Inquiries

3.9 Scholarship Program (Non‑Profit – Stronger Nurse, Stronger World)

  • Internal selection notes, scoring or review decisions

4. HOW WE USE PERSONAL INFORMATION

4.1 Service Delivery & Account Management

  • Providing support and handling account or technical issues 

4.2 Product & Service Improvement

  • Analyzing course engagement and outcomes to understand what works best 
  • Identifying gaps or confusing content to refine curriculum and formats 
  • Improving platform features, user flows, and community structures 
  • A/B testing content, layouts, or messaging to improve learning and experience 

4.3 Marketing & Communications

  • Sending newsletters and educational updates about new courses, webinars, and community features 
  • Informing you of scholarship opportunities and relevant charitable initiatives 
  • Providing promotional information about course launches, membership upgrades, and limited‑time offers 
  • Delivering reminders about upcoming events or expiring offers, consistent with your preferences 
  • Conducting optional surveys to understand interests and needs 

You may opt out of marketing communications at any time (see Section 9.4).

4.4 Analytics & Business Intelligence

  • Understanding member demographics and interests

We may use aggregated or de‑identified data for analytics, research, and reporting. Such data cannot reasonably identify you.

We partner with Microsoft Clarity and Microsoft Advertising to capture how you use and interact with our website through behavioral metrics, heatmaps, and session replay to improve and market our products/services. Website usage data is captured using first and third-party cookies and other tracking technologies to determine the popularity of products/services and online activity. Additionally, we use this information for site optimization, fraud/security purposes, and advertising. 4.5 Safety, Security & Compliance

  • Protecting accounts and systems from unauthorized access and abuse 
  • Detecting and mitigating fraud, spam, harassment, and misuse of the Services 
  • Enforcing community guidelines, terms of use, and other policies 
  • Conducting security monitoring, incident response, backup, and recovery 
  • Complying with legal obligations, responding to lawful requests, audits, and investigations 

4.6 Legal & Regulatory Compliance

  • Maintaining records required for tax, accounting, and corporate compliance 
  • Responding to subpoenas, court orders, or other lawful governmental requests 
  • Addressing dispute resolution and legal claims 
  • Meeting applicable privacy, consumer protection, and sector‑specific regulations (e.g., GDPR, CCPA, CAN‑SPAM, and, where applicable, HIPAA‑related obligations)

  • Recommending courses, content, and events aligned with your profile, activity, and expressed interests 
  • Tailoring community feeds, posting spaces, and notifications 
  • Customizing email content and frequency according to your preferences 
  • Suggesting relevant scholarships or other opportunities, where allowed by law and your preferences

Where GDPR or similar laws apply, the legal bases we rely on include:

  • Contract Performance – To deliver Services you request (e.g., course access, payments, certificates). 
  • Consent – For optional marketing emails, certain cookies, and some forms of profiling or analytics where required. 
  • Legitimate Interests – For security, service improvement, analytics, and basic personalization, balanced against your rights and expectations. 
  • Legal Obligation – For record‑keeping, tax, accounting, and responding to lawful requests. 

You may withdraw consent at any time where consent is the basis of processing, without affecting prior lawful processing.

6.1 What We Do Not Do

  • The for‑profit entity may share limited information with the non‑profit entity (e.g., name, credentials, basic eligibility data) only for verifying and administering a scholarship for which you have applied or expressed interest. 
  • The non‑profit entity does not share scholarship application data with the for‑profit entity for marketing or commercial purposes. 
  • Each entity maintains separate records and complies with its own legal obligations. 

Where required, you will receive clear notices and, where appropriate, consent options when data related to a scholarship overlaps with for‑profit activities.

6.4 Legal Requirements & Business Transfers

We may disclose personal information:

  • To comply with applicable law, regulation, legal process, or governmental request 
  • To enforce our terms, policies, or protect the rights, property, or safety of our community, users, or others 
  • In connection with a merger, acquisition, organizational restructuring, or sale of assets involving the for‑profit or non‑profit entity. In such a case, we will take reasonable steps to ensure continuity of protection and provide notice where required by law.

Despite these measures, no online system can be guaranteed 100% secure. You are encouraged to protect your account by using strong, unique passwords and enabling available security features.

8. DATA RETENTION

We retain personal information only as long as necessary for the purposes described in this Policy, and as required or permitted by applicable law.

8.1 Community & Engagement Data (Skool & Related)

  • Active accounts: Retained while your account remains active. 
  • Inactive or closed accounts: Core account data retained for up to 2 years after account closure for analytics, legal, and fraud‑prevention purposes, unless a longer period is required by law. 
  • Posts and comments: May be retained indefinitely within the community to preserve discussion context, unless deleted or removal is requested and permitted by law. 
  • Direct messages: Deleted upon account deletion or within approximately 30 days of a deletion request, subject to legal obligations and technical limitations. 

8.2 Course Progress & Learning Data

  • Course progress and completion data: retained while you maintain an account and/or as needed to verify completions. 
  • Certificates of completion: retained indefinitely to provide credential verification upon user request. 
  • Assessment and quiz records: retained up to 7 years if required for accreditation, quality assurance, or compliance. 
  • Data for retired/inactive courses: archived after approximately 5 years, subject to accreditation and audit requirements. 

8.3 Email & Marketing Data

  • Opt‑in email subscribers: retained while subscribed or up to 2 years after the last meaningful interaction, whichever is longer, unless applicable law requires shorter retention. 
  • Unsubscribed email addresses: retained to ensure compliance with unsubscribe requests and applicable laws. 
  • Email engagement metrics: generally retained up to 2 years in aggregated or pseudonymized form. 
  • Newsletter archives (content, not personal data): retained indefinitely. 

8.4 Payment & Financial Data

  • Transaction records: generally retained for 7 years to comply with tax and accounting rules. 
  • Billing addresses: retained for approximately 3 years for order history, refunds, and fraud prevention. 
  • Payment methods: full card details are not stored by us; tokenized or limited details may be stored by the payment processor in accordance with PCI‑DSS. 

8.5 Support & Customer Service Data

  • Support tickets and related documentation: generally retained for 3 years following closure, unless required longer. 
  • Chat logs (where applicable): retained for approximately 1 year. 
  • Feedback forms: may be retained indefinitely in anonymized or aggregated form for product improvement. 

8.6 Webinar & Event Data

  • Registration and attendance data: retained for approximately 1 year after the event. 
  • Replay viewing data: retained for approximately 2 years for analytics and product improvement. 

8.7 Scholarship Data (Non‑Profit)

  • Scholarship applications (including supporting materials): generally retained for 7 years from the close of the application cycle. 
  • Selection and scoring records: may be retained indefinitely in de‑identified or aggregated form. 
  • Award records and disbursement history: retained indefinitely for non‑profit reporting, audit, and impact‑tracking purposes. 

When personal data is no longer needed, we take reasonable steps to delete, anonymize, or securely store it in a way that no longer identifies you.

9. YOUR RIGHTS & CHOICES

Your rights will depend on where you live and the laws that apply. We aim to honor valid rights requests from all users where reasonably feasible.

9.1 Right of Access

You may request a copy of the personal data we hold about you, subject to certain exceptions.

9.4 Right to Opt Out of Marketing & Certain Processing

  • You can unsubscribe from marketing emails via the link in each message. 
  • You may request limitations on profiling and personalization where required by law. 
  • Where consent is required for analytics or advertising cookies, you may adjust your cookie preferences (see Section 11). 

9.5 Right to Data Portability

Where applicable law (e.g., GDPR) provides, you may request a copy of certain personal data in a machine‑readable format (e.g., CSV or JSON).

11. CHILDREN’S PRIVACY

  • Stronger Nurse University and related offerings are intended for adults (18+), specifically nurses and healthcare professionals. 
  • We do not knowingly collect personal information from anyone under 18. 
  • During registration, users confirm that they are at least 18 years old. 
  • If we become aware that personal information has been collected from a minor, we will take reasonable steps to delete it. 
  • Parents or guardians who believe that a child has provided data to us may contact privacy@strongernurse.com so that we can investigate and remove such information as appropriate. 

12. HEALTH INFORMATION & HIPAA‑RELATED NOTE

Stronger Nurse University and related platforms are designed for education and professional development, not for clinical documentation or managing patient medical records.

  • We do not request or intend to store identifiable patient Protected Health Information (PHI) as defined under HIPAA in our general course or community environments. 
  • Any clinical scenarios, case studies, or examples should be properly de‑identified according to professional and legal standards. 
  • If, in limited contexts, we ever handle PHI as a covered entity or business associate (for example, in a specific accredited program or partnership), additional HIPAA‑specific notices and agreements will apply and will be clearly communicated. 

Users should not upload or disclose identifiable patient data in community spaces, assignments, or communications unless explicitly instructed under a specific compliant arrangement.

13. INTERNATIONAL DATA TRANSFERS

Our primary operations are in the United States. Personal information may be processed and stored in the U.S. and other countries where our service providers operate.

Where required by law (such as GDPR), we implement appropriate safeguards for international transfers, which may include:

  • Standard Contractual Clauses (SCCs) approved by the European Commission or UK authorities
